Trust | Share | Discover A BETTER WAY TO FIND AND ENGAGE YOUR IDEAL CLIENTS TM trust | share | discoverTM a simple process to ensure that you take on the right clients system notes for your team Why To ensure that all leads and prospects of the firm are treated in a consistent manner, that we manage our pipeline effecAvely, don’t waste unnecessary Ame and only take on new clients that meet our client selecAon criteria. Process All leads and prospects (from wherever they arise - phone/drop-in/event) are to be funnelled through a very simple five step process - preferably using PipeDrive (or similar). If the prospect is reluctant to follow the process, we should be concerned whether they are the right client for us and if we want to proceed. We should explain that we are a very different type of accounAng firm and that we do things differently. We only work for clients for whom we can create significant value. And to determine that, we have a valuable process that will save us both Ame. We can happily share the trust | share | discover brochure (see brochure secAon) with the prospect. Obviously, Ame/diary permiOng, stage 2 could be completed at an event or on the phone when the prospect rings up. Ideally, though, we want to give Ame between each stage - to see how commiPed the prospect is, get them to do “homework’ and see whether we are just on a long list/beauty parade. Step 1 arrange an iniAal 20/30 minute phone/zoom/skype call between the prospect and an appropriate senior member of the team (eg partner/manager). The purpose of that call is to determine why the client is looking to move or become a client of ours, where the lead came from, what they are looking for in an accountant, to posi:on our firm, explain the types of services we provide and obtain informa:on from the client (accounts, budgets, business plan etc) so that we may undertake preliminary work in advance of any first mee:ng - (see detailed system notes). If the prospect rings or drops in - the recepAonist, or whoever is dealing with the prospect, should arrange the iniAal call aUer a few days (say 1-3) with the appropriate team member. If the prospect insists on a meeAng straight away, you can say “At XyZ we are a very different firm of accountants. The way we operate with prospec:ve new clients is also very different. We work with our clients to help them; grow, increase profits, reduce tax bills and plan for exit. clarity. We want to make sure that before we act, we can add significant value to your business. AB Partner therefore always likes to speak with you first to explain to you how we do business, get a feel for what you are looking for from an accountant and make sure that we can deliver. Then, if you are happy to meet us aJer that, we also like to prior to the mee:ng: review your last set of financial statements and compare against industry trends and norms review your structure from a tax perspec:ve; and run your numbers through our diagnos:c healthcheck to see the strength of your company’s vital signs and its profit improvement poten:al. So that we can get a head start on that – would you like to send me through a set of your last full financial statements now? And, if you have them management accounts and any budgets/cashflow are really helpful too. Or would you prefer to speak with AB Partner first?” If they don’t have management accounts/budgets say “Don’t worry they’re not vital for our review and many business don’t have them. We oJen help put these into place.” The person making the iniAal call appointment should follow up with an email, confirming the date and Ame and whether it is a zoom/skype or telephone call. That email should contain a simple introducAon to the firm, brochures, tesAmonials etc - (see example email). The telephone appointment should be reconfirmed the day before - (see example email). Step 2 manager/partner to have the iniAal call with the prospect and make a judgement call whether to proceed to step 3 or politely recommend that they speak to another accountant. Request relevant informaAon in advance of any formal meeAng. Refer to the detailed system notes. Step 3 analyse the informaAon provided by the prospect. For an exisAng business we should have the last full set of financial statements (including detailed profit and loss account) together with recent management accounts or budgets/projecAons (if available). For a startup, we should have a budget/projecAon or business plan (if not, an ideal first point of discussion). We should look at the last detailed profit and loss and see what the accounAng fees are. Is there likely to be any fee resistance? Will our fees likely be higher? What approach will be needed in the iniAal meeAng to discuss any increase? Are our fees lower and do we need to include more value added services in the iniAal bundle? clarity. We should look at the remuneraAon/dividend policy and any other tax points to note, including structure, R&D/innovaAon reliefs, structure, pensions, capital allowance etc Look at the financial statements and note anything odd to discuss. Review budgets/ projecAons for anything out of the ordinary. Are they stretching or is the budget too easy? How do the results compare to similar clients/industry trends? Put the client data on Clarity. See what the 7 Key Numbers are saying. Go to the future screen. Move all parameter by 5% (or more individually or in total if appropriate). Note the profit and cash improvement potenAal. Create a very basic acAon plan if appropriate (unlikely to add value at this stage). Perform a company search and review the status, filings, officers, credit worthiness/ raAng etc This also gives us another opportunity to discuss the accounts, results, how they are presented and how it can affect credit scores. Review website and major social media channels - take some screen prints (to make it clear to the prospect in meeAng that you’re interested and have done your homework). Any other relevant significant regulatory/legal/environmental/industry points to discuss with client at meeAng? Step 4 if we would like to act for the prospect, send our iniAal findings and request/ suggest a meeAng - see example email. When agreed send a confirmaAon email with agenda - see example email. If we are unable to add value, send an email with some suggested accountants or preferably telephone to suggest that the relaAonship is not right at the present Ame. Step 5 hold the discovery meeAng with the prospect. See detailed system notes and agenda. clarity. Ask the following quesAons (in a conversaAon style):- So how did you hear about us? Tell me a liPle bit about your business and what you are looking to achieve? What services do you get from you current accountant? Is there anything that they don’t provide you with? Services you feel you need? What do they get right? Why are you looking to move? ie what do they get wrong? If money were no object what services would you like to get from an accountant? clarity. 3. Explain the ethos of our firm, the types of clients we typically work with, the services we generally provide and the results that we have been geOng with our (best) clients. 4. Ask them does this sound like the types of services and results that they are looking for? 5. Highlight the fact that we don’t just do compliance (ie accounts and tax returns) but work closely and in partnership with our clients to help them grow, increase profits, reduce tax bills, achieve their goals and plan for exit if appropriate. Explain that we only work for clients for whom we can create significant value - we want to be a profit and not a cost centre. 6. Tell them that in order to establish that and to make the first meeAng far more valuable, we need to crunch their numbers, to see what’s possible and look at their tax posiAon and structure. Ask them for the last set of FULL financial statements (including detailed profit and loss) together with any recent management accounts and any budgets/projecAons (or business plan for a startup). Don’t worry if they don’t have everything - we can certainly help them and its makes for a a great starAng discussion point at the first meeAng. 7. Tell them that you will get back to them asap once they send through the informaAon . 8. If necessary follow up with the call with an email and con:nue to chase un:l they say no. 9. Once you receive the requested informaAon - go to Step 3 (above). NOTE Remember that most business fail to convert prospects because of a lack of follow up. It takes longer and more Ames than you think. Use PipeDrive to enable Amely follow up. Keep chasing unAl the prospect says “no” and confirm whether that no is a “no, not yet” or “no, I will never be interested”. Use text like “I”m sorry to keep chasing, but I just wanted to follow up on …….” , “I’m sorry if you think I am hassling you, I just didn’t want this to slip through” , “I know that you are busy, but it’s important that..”, “Is there anything I can do to help move this on?” If you don’t get an answer, move the prospect to a “warm” pipeline list and conAnue to provide valuable content. clarity.
